SRSP (Project of Information System) Chapter-1

CHAPTER -1

INTRODUCTION

SRSP’s, was the first Rural Support Programme, established in 1989, to replicate the “rural support programme approach” to rural development, which had been successfully demonstrated in the northern mountain regions of Pakistan. It came into being because of a partnership between a number of enlightened officials in the Govt of N.W.F.P (Mr. Shahibzada Imtiaz, Mr. Mohammad Azam Khan, Mr. Suleman Ghani and Mr. Javed Majeed) and the civil society, the seed money provided by USAID and the inspiring leadership of Mr. Shoaib Sultan. However the withdrawal by USAID of its funding in the nascent stages of its life made it a difficult task to sustain the organization. Fortunately there were enough visionaries in the Govt of N.W.F.P to appreciate the important role an intermediary organization could play in the promotion of grass bilaterally funded, large area development projects, being implemented in N.W.F.P, this, not only provided it with a vast outreach, but also provided it with the much needed institutional support to sustain itself and promote its mission. During this period, Novib with its deep commitment to the promotion of the cause of the marginalized and disadvantaged also helped SRSP with its capacity building and outreach programmes and also to add quality to them.

However by the year 2000, the large area development projects, and the support from Novib came to an end throwing up new challenges, and the external environment in which it operated also deteriorated. At this crucial stage DFID extended invaluable support through its capacity building projects which SRSP used to add depth and quality to its programme, and also used its limited resources, new capacities and learning to ensure organizational stability and promoting grass root development and expanding the frontiers of micro finance provided the much needed long term support. It helped SRSP maintain its outreach, and provided resources for its infrastructure, credit and human resource development programmes.

This review attempts to capture that story of managing change and diversity in N-WFP through this exciting and turbulent period of change. We would leave it to the review to tell the story.

We would like to extend our gratitude to the PMER section of SRSP under the able leadership of Mr. Sarmad Khan, the creative skills of Mr. Aftab Ahmed and the back support of all other section and Regional/field staff which has made this possible. The review would be incomplete without mentioning Mr. Karim Jan whose photography adds so much colour to it.

1.1       BACKGROUND OF THE STUDY

Human Resource Management is my field of specialization. To understand the practical application of the HRD principles in the national institutions I joined the Sarhad Rural Support Programme, Regional Office, Mansehra. As an internee in SRSP I gathered precious information and experience pertaining to the HRD operations in the organization. Sarhad Rural support programme believes that manpower is the most important and precious asset of an organization. HRD is playing a proactive role in capacity building, experience sharing, strengthening analytical and policymaking, skill up-gradation to help the staff in their endeavors to make SRSP competitive, dynamic and one of the best non governmental organizations in the country.
Manpower is the only appreciating asset of an organization. It continues to add value day after day, month after month by virtue of improving knowledge, work methods and practices.1

1.2       PROBLEMS IN EXISTING SYSTEM

Now it is a sound problem for the Bank to keep large record and also it requires time to search for the data even for a single item. Although the department in the files keeps the record, but it takes too much time to make a small decision. The information can't be provided in time to the super ordinates. On the other hand the data has little security.
Suppose the head of the Manager asks the clerk for the information like purchase date, the location of the product, etc., in emergency, then it is too hard and even sometimes impossible for him to provide data to his head as quickly as he is asking for. And this delay in providing of data affects directly the decision-making of the super ordinates. So, the Bank is in intense need of the solution to this problem. The solution to the problem is such a system that can help the clerk in providing timely data to the super ordinates. The system that may be accessed easily, instead of looking into the lot of files and turn off each and every page to search for a single item.

1.3       RECOMMENDATION FOR PROBLEM RESOLUTION
Putting in view all these problems I recommended a software having database on its backend for this department that will INSHAALLAH solve all problems of the department. The software will provide easy search methods: users, so the user will be able to access any information about any product only by little number of clicks. The database will also provide security to the data.

1.4       FEASIBILITY ANALYSIS OF THE PROPOSED SYSTEM
1.4.1  Operational Feasibility
In operational feasibility it was analyzed that, either the recommendation meets the requirements of the user or not? And the answer it is,

The proposed system will result in
Ø                                Improved   control   for   the   security   and   integrity   of all   the system because database access require password.
Ø                                Accessibility of information will increase significantly as compare to manual system.

1.5       TECHNICAL FEASIBILITY
The recommendation will be technically feasible for the Department as
Ø      The use of this proposed system is not so much difficult for the end users because they already use PCs.
Ø      Technical guarantees of accuracy, reliability, ease of access and data security etc, are available as compare to manual system (existing system).

1.6       FINANCIAL AND ECONOMICAL FEASIBILITY
·         Cost:
I prepared the software as per internship requirement and charge no amount.
·         Benefits:
There are many benefits of developing a new system to the organization, as this new system help them to maintain their expenses, Elimination of Duplication, Error rectification, Little storage space, Increased Efficiency, Easy Report-generation, Error-free calculations, Increased Security, Easy Search etc.
